Your sponsor licence is approved. What happens next?

Receiving your sponsor licence is an important step for your organisation. It also brings responsibilities that need to be managed throughout the relevant sponsorship period.

The next question is practical: are your HR systems ready to support those responsibilities consistently?

At The HFactor HR Consultancy, we provide sponsor licensing support and help employers strengthen the HR processes behind their sponsorship arrangements.

Keep employee records organised

Government guidance requires sponsors to retain relevant documents for sponsored workers, including evidence of the appropriate right to work checks.

A practical starting point is to review how those records are stored, who can access them and how missing information is followed up.

Your team should be able to locate the evidence they need promptly and handle it securely.

Monitor important information

Sponsors need HR systems that support monitoring immigration status, recording attendance and keeping employee contact details current.

Clear reminders and regular checks can help prevent important tasks from being overlooked. It also helps to establish who follows up an absence or a change in an employee’s circumstances.

A spreadsheet or HR system is only effective when someone takes responsibility for maintaining it.

Understand reporting responsibilities

Some changes involving sponsored workers or the business need to be reported to UK Visas and Immigration.

Your managers need a clear route for escalating relevant information to the person responsible for sponsorship. Reporting requirements and deadlines should be checked against the current guidance for the relevant circumstances.

For example, when a sponsored employee leaves, the organisation should promptly establish what reporting action is required and who will complete it.

Make responsibilities clear

Avoid relying entirely on one person’s knowledge.

Document who maintains records, monitors important dates, reviews attendance and handles reporting. Consider how tasks will be covered during holidays, sickness or a change of personnel.

A short, clear internal procedure can help managers understand when they need to act.

Review your arrangements regularly

A periodic review can help identify incomplete records, missed updates or unclear responsibilities.

The purpose is to establish whether your processes are working in practice and agree improvements where needed.
